This Privacy Policy explains what information we collect, how we use it, what we never store, and what rights you have as a user of our platform.
Please read this policy carefully. By accessing or using Relatia, you agree to the terms described herein. If you do not agree, please discontinue use of our services.
1.1 Information You Provide Directly
When you create an account or make a purchase, we may collect:
- Full name and email address
- Billing information (processed securely through our third-party payment processor, Stripe — we never store raw card details)
- Account login credentials (password stored in hashed, salted form)
1.2 Information Generated Through Your Use of Relatia
When you submit a chat file for analysis, the following data is generated:
- Numerical scores produced by the analysis engine (e.g., Conflict Severity Score, Positive Connection Score, EQ sub-scores)
- The generated PDF Relationship Analytics Report, which is associated with your account and made available for download
- Metadata such as the date and time of your report request and the approximate volume of messages analysed
1.3 Technical and Usage Data
Like most web services, we automatically collect limited technical data, including:
- IP address and approximate geographic location (country/city level)
- Device type, browser type, and operating system
- Pages visited within the Relatia platform and time spent on those pages
- Error logs and crash reports used to maintain service reliability

What We Do NOT Store — Our Core Privacy Commitment
KEY COMMITMENT
Relatia does not store, retain, log, or archive your chat history — under any circumstances, for any duration of time.
2.1 In-Memory Processing Only
When you upload a chat export file (WhatsApp, iMessage, or any supported format), the following process occurs:
- Your file is transmitted to our servers over an encrypted HTTPS/TLS connection
- The file is loaded entirely into volatile memory (RAM) for analysis by our AI engine
- Analysis is performed in memory — the raw file content is never written to disk, never saved to a database, and never logged
- Upon completion of analysis, the raw file contents are immediately purged from memory
- No backup, archive, snapshot, or copy of your original chat file is created at any point in this process
2.2 What Is Retained After Analysis
After your chat file has been processed and purged, only the following outputs are retained:
- The numerical scores generated by the analysis (e.g., your Conflict Severity Score, your Positive Connection Score)
- The generated PDF Relationship Analytics Report, stored securely and linked to your account for download
- The metadata described in Section 1.2 above (date of request, message volume count)
IMPORTANT: We cannot and do not reconstruct your original messages from the scores or the PDF report. Once your file is purged from memory, it is permanently and irreversibly gone from our systems.

How We Use Your Information
We use the information we collect for the following purposes:
- To deliver the Relatia analysis service and provide you with your PDF report
- To maintain and manage your account, including authentication and report retrieval
- To process your payment and issue receipts via our payment processor (Stripe)
- To communicate with you regarding your account, including transactional emails such as your report delivery email
- To improve the overall quality, accuracy, and performance of our analysis engine using anonymised, aggregated data only — never your identifiable chat content
- To comply with legal obligations and enforce our Terms of Service

How We Share Your Information
We do not sell, rent, or trade your personal information. We share data only in the following limited circumstances:
- Service Providers: We share data with trusted third-party service providers who assist us in operating our platform, including Stripe (payment processing), SendGrid (transactional email delivery), and cloud infrastructure providers. These providers are contractually bound to use your data only for the purposes of providing services to us.
- Legal Compliance: We may disclose information if required to do so by law, court order, or governmental authority, or if we believe in good faith that such disclosure is necessary to protect the rights, property, or safety of Relatia, our users, or the public.
- Business Transfers: In the event of a merger, acquisition, or sale of all or substantially all of our assets, your information may be transferred as part of that transaction. We will notify you via email and/or a prominent notice on our website before your personal data is transferred.
We implement industry-standard security measures to protect your personal information, including:
- Encryption in transit: All data transmitted between your browser and our servers is encrypted using TLS (Transport Layer Security)
- Encryption at rest: Stored data, including your reports and account information, is encrypted at rest
- Access controls: Access to personal data is restricted to authorised personnel on a need-to-know basis
- Regular security reviews: We conduct periodic security assessments of our systems and practices
No method of transmission over the internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security. In the event of a data breach that affects your rights and freedoms, we will notify you as required by applicable law.
We retain different categories of data for different periods:
- Raw chat files: Never retained. Purged from memory immediately upon completion of analysis.
- Numerical scores: Retained for the duration of your active account, and deleted within 30 days of account closure.
- PDF reports: Retained for the duration of your active account, and deleted within 30 days of account closure.
- Account information (name, email): Retained for the duration of your active account, and deleted within 30 days of account closure.
- Payment records: Retained for seven (7) years as required by applicable financial and tax regulations.
- Technical/usage logs: Retained for up to 90 days for security and operational purposes, then deleted.
Depending on your jurisdiction, you may have the following rights regarding your personal data:
7.1 Right of Access
You may request a copy of the personal data we hold about you at any time. We will provide this within 30 days of a verified request.
7.2 Right to Rectification
You may request that we correct any inaccurate personal data we hold about you.
7.3 Right to Erasure ("Right to be Forgotten")
You may request deletion of your account and all associated personal data at any time. We will process such requests within 30 days. Note that we are required to retain payment records for the statutory period described in Section 6, which we cannot waive.
7.4 Right to Data Portability
You may request a copy of your scores and report data in a structured, machine-readable format.
7.5 Right to Object and Restrict Processing
You may object to or request restriction of certain processing activities, including the use of your anonymised, aggregated data for platform improvement purposes.

Cookies and Tracking Technologies
Relatia uses a minimal set of cookies necessary to operate the platform:
- Session cookies — to maintain your authenticated session while you are logged in. These expire when you close your browser.
- Preference cookies — to remember settings such as language preferences. These are stored for up to 12 months.
- Analytics cookies — we may use privacy-respecting analytics tools (such as Plausible Analytics, which does not track individual users across sessions or use advertising identifiers) to understand aggregate usage patterns.
We do not use advertising cookies, retargeting pixels, or third-party tracking scripts that share your data with advertising networks. You may configure your browser to block or delete cookies, though this may affect the functionality of your Relatia account.
Relatia is intended for use by adults aged 18 and over. We do not knowingly collect personal information from individuals under the age of 18. If you believe we have inadvertently collected data from a minor, please contact us immediately at [email protected] and we will promptly delete such information.

International Data Transfers
Relatia operates globally and your information may be processed in countries other than the country in which you reside. Where we transfer personal data internationally, we do so in accordance with applicable data protection laws and implement appropriate safeguards, such as Standard Contractual Clauses approved by the European Commission, to ensure your data is protected to a standard equivalent to this policy.

If you are a California resident, you have specific rights under the California Consumer Privacy Act (CCPA), including:
- The right to know what personal information we collect about you
- The right to delete your personal information
